Know who actually lives in every unit

Short answerWatchdog Strata keeps a live register of residents per unit. Owner-occupiers add or remove their own tenants; each change goes to the building manager, who approves or rejects it, and a rejection reverses the change. New tenants who register themselves are confirmed by someone already living in the unit, and units above the building’s occupancy policy are flagged.

Owners manage their own household

An owner who lives in the unit can add a tenant (name, email, mobile) or schedule a tenant’s move-out date. The building manager reviews every change. Approving a removal ends the tenant’s app access on that date and queues their access cards for revocation. Rejecting it reverses the change, even after approval.

New residents are confirmed by the household

When someone registers as a tenant, the owner-occupier or main tenant of that unit gets a simple question: “Does this person live in your unit?” A “no” raises an alert to management before any access card is issued. If nobody in the unit is on the app yet, management is told that too.

Occupancy flags

Each unit has a bedroom count, and the building sets a policy (by default 2 people per bedroom: 1 bed = 2, 2 = 4, 3 = 6, 4 = 8). Adding more people is allowed, but the unit is flagged so management can follow up. In NSW an owners corporation can adopt a by-law limiting occupancy to no fewer than 2 adults per bedroom; see occupancy rules.

Tenancy contacts

Tenants record who manages their tenancy: agency and property manager, main tenant, or owner. That gives the building someone to call, and the details are cross-checked between tenants of the same unit.

Questions people ask

Can an owner add tenants without the building manager?

The owner can add or remove tenants, but every change is reviewed by the building manager, who can approve, reject or ask a question. Rejecting reverses the change.

What happens when a tenant moves out?

The owner sets a move-out date. Once approved, the tenant’s app access ends that day and their access cards are queued for revocation.

Is the occupancy limit a law?

The limit is a building policy setting. In NSW, the Strata Schemes Management Act 2015 lets an owners corporation make a by-law limiting occupancy to no fewer than two adults per bedroom.
